Workflow build
Less repeated admin. More room to grow.
Spend more of your time on customers and the work that brings money in. We build practical business systems to reduce the copying, chasing and document preparation that keep pulling you back to the desk.
An enquiry captured once. Visit notes in the right job file. A quote ready for you to check. We design the connections and screens around how your business works, so adding work does not have to mean repeating every admin step by hand.
Less copying and chasing. A clearer view of the work.
Prepare the repeated work and make the decisions needing your attention visible.
Work arrives
An enquiry or document starts the job.
The work is prepared
The agreed workflow organises or drafts the result.
A person takes over
Approve the output or resolve an exception.
The scope defines connected tools, approval points and ongoing support.
Take the repeated handling out of the job
We start by investigating how you work: what happens at the desk and away from it, which tools you rely on and where information gets stuck. We confirm that picture with you before deciding what to build. Your existing systems may need a better connection, a part may need rebuilding, or several jobs may belong in one platform built specifically for your business.
Your team may need a phone app away from the desk and a shared view in the office. We design those screens around what each person needs to see and do.
What could you take off your hands?
- Forgetting who needs a reply: bring incoming enquiries into one place, prepare replies and make the next action visible.
- Finding and entering paperwork again: organise documents, extract agreed details and flag items that need checking.
- Building quotes after work: prepare descriptions and documents from an agreed scope and checked figures.
- Fighting a complicated app: give your team a focused screen for the job, with readable information and clear actions.
These are examples we can scope with you. Connections, actions and approval points are agreed for your project.
Built from admin we have had to deal with ourselves
We have run a business for years. Our systems grew from jobs we had to keep doing: answering enquiries, preparing quotes and getting purchase paperwork ready for the books. Pencraft, our email and diary assistant, is one of those tools.
We test changes in a separate environment, repeat the checks after fixes and refine the systems through daily use. We agree the checks and handover for your project before building.
Know what it will take to run
Before the build, the scope records the deliverable, fixed price, timetable and how the result will be checked. It also records ownership, access, ongoing software costs and support. You can judge the finished system's running requirements before commissioning it.
Describe the bit that eats into your day
You don't need to name the technology. Show us what you copy, chase, search for or keep catching up on. We will work out whether a build can usefully take that work off your hands.
Our existing commitment
Scoped and fixed-priced before any work starts, so there are no surprise overruns.
Finish the visit without starting another evening of paperwork.
An illustrative setup for a site visit, survey or meeting. Capture the information once and prepare the office work from it.
Capture it on your phone
Use an applet to collect notes, photos or a recording during or after the visit.
Send it to the local system
Upload to an agreed folder on your computer or server. Match it to the existing job or hold it for checking.
Get the next work prepared
Transcribe recordings, add notes to the job record and run the agreed follow-up automations.
Automatic filing and agreed internal tasks can proceed within the scope. Unclear job matches, uncertain transcript details and actions needing approval wait for a person.
What you get back
The visit is already in the job file when you return to the desk, with the original notes alongside the transcript. Agreed automations can prepare the follow-up tasks or a draft reply. You spend less time writing up the same visit and more time deciding what happens next.
For example, a made-up survey note says: “One measurement still needs confirming before the quote.” The system can add that note to the matched job and create an internal task to obtain the measurement. It holds the affected quote item for review; it does not fill in a measurement or promise a price.
We agree how uploads reach your local system, where files are stored, where transcription runs and who can access them. A missing upload or uncertain result needs to be visible so someone can resolve it.
Clear screens are part of the job.
The user interface, or UI, is the screens, buttons and labels your team uses. We make the next action easy to find, with readable information and diagrams where they help. Your team should not need to study a complicated screen to finish a simple job.
