Drowning in client email? Get back to the work that pays.

Pencraft reads your client email, works out what to answer first, and drafts each reply in your own voice. When a customer writes in another language, you keep working in English and they get a clear reply in theirs. You read, approve, and hit send on every word.

the problem

A trades inbox that ate every evening.

Sweet Homes, our own Edinburgh building firm, was losing hours a day to client email. Every enquiry needed a considered reply in the right tone, and a good share of customers wrote in Polish. Appointment dates, phone numbers and addresses had to be dug out of the thread and typed into the diary by hand. Miss a reply for an evening and the keen customer has already phoned someone else.

what we built

An inbox that drafts its own replies, in your voice.

Pencraft is a desktop assistant, normal installers for Windows and macOS, that reads the inbox, works out what to answer first, and drafts each reply in the owner’s own calibrated voice. It replies to each customer in their language and sends nothing until a human clicks approve. It pulls the appointment date, phone and address straight into a colour-coded diary, and a five-state queue with a background daemon means no thread is ever lost or left stale.

Your draft (English)

Thank you for your enquiry about your kitchen. We would be glad to help.

To understand the works, could you send us a few photos and the rough measurements of the room?

After that we propose a short phone call, about twenty minutes, then we can arrange a site visit and prepare a clear quote.

Customer receives (Polski)

Dziękuję za zapytanie dotyczące Pana kuchni. Chętnie pomożemy.

Aby zrozumieć zakres prac, czy mógłby Pan przesłać nam kilka zdjęć oraz przybliżone wymiary pomieszczenia?

Następnie proponujemy krótką rozmowę telefoniczną (około 20 minut), potem umówimy oględziny i przygotujemy przejrzysty kosztorys.

the result

174 replies, 98 per cent accuracy, most sent exactly as written.

This is not a demo. Pencraft has run the Sweet Homes inbox day to day. Across 174 logged replies it reached 98 per cent accuracy at an average edit ratio of 0.02, meaning most drafts go out unchanged. Before it shipped, the watchdog went through 17 adversarial test rounds that found and fixed 21 separate failure modes, and a least-privilege proxy mode lets a teammate work the shared queue without ever seeing the rest of the mailbox.

what it means for you

If your inbox eats your evenings, this is the exact thing.

Pencraft was built for Sweet Homes, but the pattern transfers. Any business buried in customer email, especially across a language line, can have an assistant that drafts in its own voice, books the appointments, and leaves the human in control. We do not hand you a generic tool. We build the one that fits how you actually work, the way we built ours.
